Cancellation/Refund Policy

• Orders may be canceled up to 24 hours before the order start date for a full refund, minus non-recoverable payment processing fees.

• Cancellations made less than 24 hours before the order start date are not eligible for a refund.

• There are no refunds for early returns or weather-related cancellations, except when a mandatory evacuation has been issued for the customer’s rental area.

• Daily rentals are not eligible for refunds once the rental period has started or the equipment has been delivered or picked up.

• No store credits or gift cards will be issued in place of refunds.

• Once rental items have been delivered to the customer or picked up by the customer, no refunds will be given.

• After delivery or pickup, we may be able to exchange equipment for a $20 change fee, subject to availability.

• Delivery fees are not refundable after delivery has occurred.

• Refunds are administered by Island Cycles management. Customers must contact a manager for all refund requests.

• Approved cancellation refunds will be issued within 30 days of receipt.

• An email confirmation will confirm the refund. Debit cards and some credit cards may post refunds with a delay according to the customer’s bank policies.

• Payment processing fees are non-refundable because they are non-recoverable by our business. The exact fee amount depends on the payment processor and will be detailed in the refund confirmation.

Hurricane/Storm Policy

• If a mandatory evacuation is issued for the customer’s rental area, eligible storm-related refunds will be issued within 30 days after the evacuation has been lifted by Dare County Emergency Management.

• Customers who have possessed their weekly rental items for 1–3 days before evacuation are eligible for a 50% refund.

• Customers who have possessed their weekly rental items for 4–7 days before evacuation are not eligible for a refund.

• Delivery fees are not refundable once delivery is complete.

Equipment Damage Protection (EDP)

Equipment Damage Protection (EDP) is optional and costs $10 per order. EDP applies only when it appears as a separate paid line item on the order. Customers may decline EDP by turning it off before checkout. EDP is not insurance.

When purchased, EDP covers up to $500 per order for minor accidental damage to eligible rental equipment during normal, permitted use. Examples include flat bicycle tires, broken kickstands, light scratches, bent umbrella frames, torn chair fabric or crib mattresses, broken surfboard fins, and reasonable cleaning required after normal use.

EDP does not cover theft, loss, unexplained disappearance, missing equipment or accessories, intentional damage, misuse, neglect, prohibited use, improper transportation, exposure to surf, saltwater, standing water or severe weather, or major structural damage such as cracked or bent frames or broken plastic or metal parts. The customer remains responsible for damage exceeding the $500 limit and for all damage or loss not covered by EDP.

To request EDP coverage, the customer must return the damaged equipment and any available pieces and report the damage to Island Cycles within 48 hours after the rental ends. Island Cycles may request reasonable information about how the damage occurred.

EDP applies only to the specific order on which it was purchased. If the entire order is timely canceled before delivery, pickup or the rental start, the EDP charge will be refunded with the order. EDP is non-refundable after delivery, pickup or the rental start.

Rental Agreement and Liability Waiver

In connection with the rental of bicycles, kayaks, paddleboards, beach gear or other equipment, referred to in this agreement as “Equipment,” or participation in instruction, rides, trips or tours, referred to as “Activities,” and collectively referred to as the “Rental,” from Island Cycles and Gear LLC of Avon, North Carolina, or its affiliates, referred to as the “Provider,” the renter and each user of the Rental, collectively referred to as the “Participants,” understand, acknowledge and agree for themselves and for all minor children in their care as follows:

THIS DOCUMENT IS A LEGALLY BINDING CONTRACT. READ IT CAREFULLY BEFORE SIGNING.

1. I assume full responsibility for personal injury to myself and, if applicable, my family members. I further release and discharge Island Cycles and Gear LLC from injury, loss or damage arising from my or my family’s use of the Equipment, whether caused by me, my family or other third parties.

2. The Provider is responsible for providing the Equipment but does not warrant or guarantee its fitness for the intended use.

3. The Participant will inspect the Equipment before use. If any Equipment is unsatisfactory, the Participant will immediately notify Island Cycles and Gear LLC or its agent or representative and will not use or permit anyone else to use the unsatisfactory Equipment.

4. The Participant understands that Rentals involve inherent risks of accident, injury, paralysis and death. Risks may include, but are not limited to, slipping, falling, air and water temperature, wind, lightning, weather, river and rip currents, tidal and wave action, plants and animals, vehicles, collisions, transportation to and from Activities, and uneven or slippery roads and other surfaces.

5. The Participant and any minor children in the Participant’s care have no medical condition that would make them unfit for the Activity.

6. The Participant releases, indemnifies and holds harmless the Provider, its members, owners, employees, contractors and agents, and the owners or lessees of any premises used for the Rental, collectively referred to as the “Releasees,” from any claims, losses or liability for damages or injuries sustained in connection with the Rental, including the operation, use or misuse of Equipment. The Participant assumes such liability resulting from use, misuse or lack of proper supervision, whether or not arising from the fault or negligence of the Releasees, to the fullest extent permitted by law.

7. Equipment will be used in accordance with all applicable laws and regulations. Children under 16 years of age must wear a helmet when riding a bicycle. Island Cycles recommends that all bicycle riders wear a helmet.

8. Participants using a paddleboard or kayak must wear a life jacket, except that during paddleboard yoga it may be kept on the board.

9. Bicycles, kayaks and paddleboards may be used only during daylight hours.

10. Specifically designated fat-tire bicycles may be used on the beach when permitted by applicable laws and regulations, but they may not be ridden into the ocean or saltwater. The renter must wash all sand and salt from the bicycle with fresh water immediately after completing a beach ride. The renter will be charged $50 for each bicycle returned with excessive beach sand in the drivetrain.

11. Skidding bicycle tires is prohibited because it is dangerous and damages the tires. All tires are inspected before rental. The renter will be charged $25 for each tire damaged by skidding. Damage caused by skidding is not covered by EDP.

12. All bicycles must be locked whenever they are not being used. The renter remains responsible for lost, stolen or missing Equipment and accessories. EDP does not cover theft, loss or unexplained disappearance.

13. Kayaks and paddleboards must not be dragged because dragging causes damage. Equipment carts are available for rent. Damage caused by dragging Equipment is not covered by EDP.

14. Equipment must be returned in the same condition in which it was received, except for ordinary wear and tear. The renter is responsible for misplaced, incomplete, lost, stolen or damaged Equipment, except for covered minor accidental damage when EDP was purchased and appears as a separate paid line item on the order. The renter must contact Island Cycles immediately if Equipment requires repair or replacement. No rental refund will be issued because Equipment was damaged during the rental period.

15. If I wish to keep any Equipment beyond my original rental period, I agree to contact Island Cycles and Gear LLC to request a rental extension. I understand that an extension is not guaranteed. If I retain Equipment beyond the selected rental period without receiving an approved extension, I authorize Island Cycles and Gear LLC to charge my credit card a late fee equal to 150% of the applicable daily rental rate for each unreturned item for each day it remains unreturned.

16. All rental Equipment must be returned or made available for pickup at the end of the rental period. If Equipment is not returned or is unavailable for pickup, I authorize Island Cycles and Gear LLC to charge my credit card the full retail value of the unreturned Equipment.

17. Paddles do not always float. The renter will be charged $50 for each lost paddle. Lost paddles are not covered by EDP.

18. Equipment used near the waterfront may acquire a reasonable amount of sand or mud during normal use. EDP, when purchased, covers reasonable cleaning required after normal use. A $50 cleaning charge may apply to each item requiring excessive cleaning because of misuse, neglect or prohibited exposure. Excessive cleaning is not covered by EDP.

19. The Provider has made no representations, promises or inducements, orally or otherwise, that are not contained in this agreement.

20. All disputes resulting from this Rental Agreement and Liability Waiver will be resolved according to the laws of the State of North Carolina. Any legal action will be brought and take place in Dare County, North Carolina.

21. I agree to receive recurring messages from Island Cycles at the mobile number provided and agree to the Island Cycles terms and privacy policy. Message and data rates may apply.
